Roots Research Limited takes privacy seriously. The following principles underpin our approach to respecting your privacy.

  • We will always use your personal information in a way that is fair and reasonable and as a minimum, comply with prevailing legislation and observe generally accepted principles governing data protection.
  • We aim to be transparent and provide accessible information about how we use your personal information – what information we collect, what we do with it, with whom we share it and who you should contact if you have any concerns.

Roots Research Limited is a ‘data controller’ under the General Data Protection Regulations (GDPR) and our registration number with the Information Commissioner’s Office is Z307648X.


The purpose for which we gather and hold the personal information that we ask you to provide, is to match you with market research projects to be carried out by our clients where you may meet the criteria they have specified for participation, and we may recruit you to participate in any market research project on that basis.

If we identify you as a potential research participant for any client market research project, we may contact you directly by telephone, SMS, and/or email to provide you with details of the project and gather additional information that enables us to ensure you are a match for any particular client project, and/or obtain information required for that project.

We will pass some or all of the personal information that we have gathered from you across to our client to enable them to involve you in their market research project.

Please note that we may also use your personal data to prepare, use and disclose statistical and demographic information regarding use of our Websites for the purposes of improving the Websites (in pursuit of the legitimate interests of improving the Websites for the benefit of you and our other clients to whom we provide our Services) and for our marketing purposes (in no circumstances will you be capable of being identified from such statistical and demographic information).

What information do we hold?

When you submit your contact details to us we will store the following personal data.

We may also look to collect personal data which, under the General Data Protection Regulation (GDPR) is considered as sensitive or special categories of personal data, such as information relating to your racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, physical or mental health or sexual orientation.

Any and all information we gather from you is related to your wish to participate in paid market research.

Consent and your rights

We only process your data with your consent and you always have the right to withdraw that consent at any time by:

You can also modify your consent at any time, perhaps removing certain elements of your personal data, though you should be aware that in doing so, we may not then be able to consider you for participation in certain market research projects.

You may also send us a request to access, amend or delete your personal information. To do this, please contact us by a means as specified above, being sure to state clearly that your contact with us concerns a privacy issue. To ensure that we are only acting on requests that have been genuinely made by you, please bear in mind that we may request additional information to verify your identity.

You have the right to object to our use of your personal data. To do so, please contact us clearly stating that you wish to exercise your right to object. If you are not happy in any way with our use of your information or believe your rights have been infringed, you may lodge a complaint with us and we will do our utmost to rectify the situation.

If and when we contact you and request further personal information, you may feel that you do not wish to answer certain questions and you have a right not to do so, though it may affect whether you can participate in that particular project.

Retention of Information

We only retain information as long as is necessary in relation to the purpose for which it was gathered. The information you provided when you registered on the Take Part In Research Website and any further information you provide, will be retained on the basis that it will allow us to continually assess you against the participant needs of clients for their projects, and it will be retained as long as you do not withdraw your consent. We may periodically contact you to ask you to check that your information is up-to-date.

Children’s Personal Information

We may collect personal information about children where it is relevant for a market research project, but only with the express consent of their parent or legal guardian, and we will take reasonable steps to verify that we are dealing with the parent or legal guardian of any child concerned in such event.


Roots Research works with certain third-parties to enable us to effectively carry out our work. If any third-party processes your personal information on our behalf, we always make sure that they handle your data with the same levels of security, control and care that we do, and we will have thoroughly checked their suitability for such purpose before we partner with them. In the normal course of our businesses we will share your personal information with:

  • our clients who wish to undertake market research;
  • our data hosting/support service providers who process and store data on our behalf;
  • our professional advisors and consultants, insofar as the information is necessary for them in relation to their contractual relationship with Roots Research.

In passing your personal information to a client in relation to a project, such information will be passed to them by us under defined terms and conditions that relate to their data privacy responsibilities under GDPR for processing your data as a data controller.

Beyond these third parties that we deal with in the normal course of our business, we will not sell or pass on your personal information to any other parties.

Personal information may also be disclosed to entities based outside the European Economic Area (“EEA”), to third parties (as part of the information generally contained in business) in the event of a sale of the business, or a reorganisation of the business, or as otherwise required or permitted by law or applicable regulator.

Roots Research takes security measures in line with data protection regulations, to prevent data loss, to preserve data integrity, and to regulate access to the data. Only authorized Company personnel, and authorized personnel of our third-party service providers’ processing data on our behalf, have access to your personal information. All such personnel who have access to your personal information are required to adhere to our Privacy Notice and all third-party service providers are requested by Roots Research to ensure that any of their personnel who have access to your personal information have signed non-disclosure agreements. In addition, contracts are in place with such third-party service providers acting as data processors for Roots Research that have access to your personal information, to ensure that the level of security required in your jurisdiction is in place, and that your personal information is processed only as instructed by us.

Revisions to this policy

Roots Research will revise this policy from time to time to ensure our ongoing compliance with all legal requirements for data protection and security. Whenever we make any changes we will always post them on this page and the date at the top will show you which revision you’re viewing, so please check back now and again to see if anything’s changed.

If there’s anything you’re no longer happy with, you are free to exercise your rights as we’ve described above but by continuing to allow us to hold your information you are accepting any changes made to this policy.
